Administrative Assistant/Receptionist

Job Description

We are seeking a full-time administrative assistant/receptionist. This position is responsible for all first impressions over the phone and in-person, as well as general administrative duties in a professional office setting.   

Responsibilities

  • Ambassador for the firm, heavy client service from processing incoming calls to greeting guests and addressing their needs.
  • Managing multi-line software-based switchboard.
  • General administrative tasks including basic creation and formatting of correspondence, working on client mailings, managing supplies, and other projects as assigned.
  • As part of the administration team, support and backup fellow team members on daily basis.
  • Updating company databases, working with industry specific software and systems, scanning of client documents.
  • Event planning assistance for internal and external events.
  • Scheduling of meetings for partners and managers.

Required Skills and Experience

  • Very personable, friendly, and outgoing with clients in person and over the phone.
  • Very professional in person and over the phone in voice and mannerisms.
  • Good Word, Excel, and Outlook skills and experience.
  • Database management skills and experience.
  • Strong skills in multi-tasking, attention to detail, taking ownership/responsibility of job duties and working well as part of a team.
  • Prefer experience in a professional office setting.
  • Overtime required on Saturdays (5 to 8 hour days) for about 10 weeks starting end of January through the middle of April.
